ACCESS 4-H Introduction

On Friday, November 6 at 10:00am there will be an introduction to the ACCESS 4-H Online Enrollment system. This system is expected to be the replacement for Blue Ribbon Youth Enrollment.

This 2 hour webinar will be led by National 4-H Council staff who have been responsible for the programming, development and implementation of ACCESS 4-H. This web-based enrollment system was piloted in Oregon during the 2008-2009 program year and currently has 20 other states coming on board.

In the weeks following this initial preview, Kansas Extension staff will have the opportunity to volunteer to pilot ACCESS 4-H in their Extension units. Based on acceptable experiences in the pilot process, all Kansas Extension Units will be using ACCESS 4-H beginning with the fall 2010 enrollment season

Training will be provided throughout the coming year using: face-to-face sessions in various locations around the state, Adobe Connect Sessions, and recorded video training. On-going training opportunities will also be provided as new Extension staff come on board.

ES-237 What do we send and who to?

Who should we send our Blue Ribbon Files for ES-237 and what all do you need?

We need 2 things:

1. A PDF file of your final ES-237 report. It should be 10 pages.
2. A Zipped file of ALL the files in your c:/Program Files/Youth Enrollment/Data/ folder

"Error creating cursor handle"

Error message: "Error creating cursor handle". Generic message usually meaning something is missing
Reason: Missing files, tables, or not enough room on your hard drive to open the program, report, or table.
Solution: Check for missing files by going into Utility | File Utilities and under Utilities | Check for missing files.
-OR Solution:
Check hard drive space in Windows Explorer by right-clicking on your C: go into Properties and check the free space available; if networked, also check the Server drive. Possibly could be getting caught in the print driver as well.
-OR Reason:
An existing table could have wrong table format. Example: Youth2c1.db has project information (like Youth2c.db) in instead of what that table should be - showing project status of Activity, Project or Other.
Solution: Look at your table formats in Utility | File Utilities by double-clicking on your files to make sure the formats are correct. (Might need to call for help.)
-OR Reason:
Going into a specific table - can't open the member/leader file getting this same error. Indexes could be out of sync.
Solution: Recreate indexes by going to Utility | File Utilities and highlight each file,(suggest doing: youth2a.db, youth2b.db, youth2bl.db, youth2c.db, youth2d.db, youth2x.db, youth2xl.db, youth2g.db, and youth2h.db) then go up to File | Recreate
indexes.
-OR Reason:
You just received new project files from your state office (youth2c.db) but the youth2c.px was not included as they usually just send the *.db file).
Solution: Recreate indexes on Youth2c.db by going to Utilities | File Utilities and
highlight Youth2c.db. Then go File | Recreate indexes.
-OR Solution:
use Datafix utility.
1) Go to Start | Programs | Youth Enrollment | Pdxrbld.exe
2) Select the database - By alias (this will choose the selected database that is in
your BDE Data path)
3) Select alias - WinYouth
4) Rebuild scope - Select Rebuild corrupted tables
5) Check Pack tables, then click Start
6) Then when finished - choose Rebuild All Tables, Pack tables - click Start
again.
7) Click Close when done.

Do we need to update to the Version 2.6 ?

Yes, if you would please, update Blue Ribbon and before you run your ES-237 report for 2007. There were some patches in the ES-237 report that may affect how your data merges with the rest of the state data if your software and data aren’t upgraded.

To check which version of the Blue Ribbon software is installed, open the program and click on “Help” menu and then “About”. It should say at the top center that you have version 2.6 and the date on winyouth.exe should be July 17, 2007. If you DO NOT have the current version, read on!

IF you have version 2.6 installed with a date prior to July 17, 2007, you may download the incremental update. Only install the incremental update if you have the version 2.6 of the program! Installing the incremental update over any other versions of program will make your system unusable!

Run the program by double clicking on the downloaded file.
Do not change where it unzips the files By default it will place the updated files at: C:\Program Files\Youth Enrollment

If you only have version 2.5 installed, you may download the following file to do it all in one step:

The next time you open the Blue Ribbon Youth Enrollment (BRYE) program, the title slide that comes up will show the MarTech 20th Anniversary logo. To verify the incremental upgrade software is installed correctly, click on “Help” menu and then “About”. The date on winyouth.exe should be July 17, 2007.

The PDF won't print all the pages...

We got a call today from someone trying to print the last report... pages 6-10 would print but not the pages prior. Does anyone have any advice?

As you know Cheryl Thomas spent considerable time each fall helping everyone trouble shoot and prepare their ES 237 Reports. We need your help! There are more questions coming into the State 4-H Office than we can keep up with, so we'd like to try getting your help.
